Online booking & reminders
  • Biggest time saver in your plan
  • The usual first win in this field
  • Quick to connect

The pilot is free. Keep it only if it's worth more than it costs: on these numbers about $290-530 a month of staff time

What we'd need from you

  • One person who knows the work, about 2-3 hours over the 3 weeks
  • Access to sample data, under NDA

Conservative on purpose: each automation takes over only part of the work, and we keep just 70% of that for real life. Your own numbers beat our averages

Confidence: medium - typical values for a business your size. Your numbers make it sharper

Your numbers: 0 · Sourced: 7 · Our estimates: 2

Customers and follow-ups

Counted separately. Never added to the hours or the money

  • Do you send reminders today?

Not sure? Check last month's calendar

  • How many calls go unanswered today?

Not sure? Your phone system's missed-call log shows it

Deadlines and mistakes

Typing by hand gets about 3 in 1,000 fields wrong (review of 93 studies, 2023). These automations stop the retyping

Fair questions

We don't know where to start
That's what this plan is for. We build it, you check it on your real work
What about our data and the law?
We work under NDA, a person approves anything important, and an AI that talks to customers always says it's an AI
It sounds expensive
The pilot is free. You keep it only if it's worth more than it costs
Our work is different
Maybe. We prove it on your own process, not a demo, and we tell you if it isn't worth it
Our customers won't like talking to AI
They're told when it's an AI and can reach a person in one step

AI use so far in the US: about 18% of firms with under 20 staff (US Census Bureau, 2026). Most start with marketing and admin

How we calculate

What the labels mean

Yours: A number you entered

Measured: From official statistics or published studies

Derived: Worked out from measured figures for a business your size

Our estimate: No public data yet. Our cautious assumption, replaced by your real numbers in the pilot

Most studies come from Europe and North America. Where your country differs, your own numbers matter even more

Sources for this plan

How it works

  1. Tell us about your business: what you do, where, how big and what eats your time

  2. Get a plan: which automations fit, in what order, and the hours each one gives back

  3. Fine-tune it with your own numbers, then send it to us or talk it through with our AI agent

The math, in plain words

Time back = how many × minutes each × share it takes over × 70%

  • Manual time today: how many a month times minutes each. Calls and messages are counted once, then split by what people contact you about
  • Share it takes over: a cautious and a typical share for each automation, from studies and industry data, adjusted by your answers
  • Real life: we keep only 70% of the time saved, because saved minutes rarely all turn into useful work (St. Louis Fed, 2025; NBER study, 2025)
  • Money: hours times typical pay for that role in your country, plus employer costs, over 160 working hours a month
  • Customers, deadlines and revenue are counted separately and never added to the hours

What we never do: count headcount cuts, add revenue to the time saved or show multi-year totals

A worked example

A dental practice in Spain with 3 dentists handles about 1,000 calls a month. The plan starts with online booking and reminders, adds online patient forms, then AI phone answering. Together: about 2.5-5 hours a week back, worth about €2,400-4,400 a year in front desk and office time. If the practice sends no reminders today, it can also expect about 12-19 fewer no-shows a month

What automation won't do

  • Replace the judgement of the people who know your customers
  • Fix a broken process. We fix the process first, then automate it
  • Run without a person approving what matters
  • Turn every saved minute into profit. That's why we keep only 70% of the time saved

Where small businesses are today

Most firms your size haven't started yet. Official surveys put AI use at 17% of small EU firms (Eurostat, 2025), about 18% of US firms (US Census Bureau, 2026), 28% of UK firms with under 10 staff (ONS, 2026) and 19% of Canadian businesses (Statistics Canada, 2026). The ones that have mostly use it for marketing, admin and accounting

Where the numbers come from

Every default shows a label: measured, derived or our estimate. Studies and official statistics come first, industry data second, and where nothing public exists we say so and stay cautious

Questions owners ask

Is the planner free?
Yes, and so is the pilot. You only pay if you decide to keep what we build
How accurate are the numbers?
They're cautious averages for a business your size, with the source shown for each. Your own numbers make the plan sharper, and the pilot measures the real result
Why are your numbers lower than other calculators?
Because we count each call or message once, use measured rates rather than best cases, and keep only 70% of the time saved
Do I need special software?
No. We connect to what you already use. If you mostly use paper, we usually start with online forms
Will automation replace my staff?
That's not what we plan for. 83% of small firms using AI say their staffing didn't change (OECD, 2025). The plan shows hours back for the people you have
What happens to my data?
The planner runs in your browser. If you ask our AI agent, your planner answers and messages go to our AI provider (Anthropic) so it can reply. We keep that chat, including any plan the agent makes, for up to 90 days. If you send us a request, your plan and any chat are kept with it. In a pilot, we work on your data under NDA
